Your price files are located under the Price Books list in the Parts and Service module. This view allows you to pull up the list of parts available from your vendor and either add them to inventory or add them to a parts or service invoice.

Upload / Update Your Price File
Once you have uploaded a price file loaded at least once, you can perform the update function on your own by following the directions below.
- Open the Parts & Service module.
- In the Tools menu in the lower left of the screen, expand the Parts Maintenance section.
- Select the Parts Price Books option. This will open the Price Books window.
- Use the Price Book dropdown in the upper left to choose the list that you wish to upload. The list is alphabetical. You may begin typing the vendor name to quickly move to the list option. This will update the screen.
- Select the Import Price Book button in the lower right of the window. This will open the price book import file selection window.
- Click the Select Files button to open a Windows navigation window to locate your file.
- Optionally, you may check the box to ignore part number from price file if you do not wish to update part numbers when importing the list.
- Once you have the price file location loaded click the Import button. The system will update your parts price book and the prices for parts listed under that vendor.
Add Price Book Parts to Inventory
Once a price book has been uploaded, you can add the parts to your master inventory list easily from several different areas of the program.
From Parts Price Book Window
- Open the Parts & Service module.
- In the Tools menu in the lower left of the screen, expand the Parts Maintenance section.
- Select the Parts Price Books option. This will open the Price Books window.
- Use the Price Book dropdown in the upper left to choose the the vendor. The list is alphabetical. You may begin typing the vendor name to quickly move to the list option. This will update the screen.
- Choose the Search button in the lower right. This will open the Price Book (PB) Parts Search window.
- You may search using full or incomplete information. Using an asterisk (*) will act as a wildcard.
- You may enter a part number, description, prefix, base, or suffix.
- Click the View button in the lower right to open the part on the screen.
The part information will show on the left side of the window. In the Cross Reference section to the right, you can see basic information about this part in each of your dealership locations.
- If you wish to add the part to a profit center's master inventory list, select the Add To Location button.
From Price Books List
The Price Book List provides an alternate way to add parts to your master inventory list and allows you to view the supercession chain for parts.
From Master Inventory
- Open the Parts and Service module.
- From the menu on the left side of the screen, expand the Parts Maintenance section.
- Choose the Master Inventory option. This will open a blank part search screen.
- If you know the part number you wish to look up, enter it into the Part Number / Identifier field. Alternatively, you can search by any of the other fields in the search screen.
- Click the Search button to view results in the table below.
- Locate the part in the list below. If the part does not show in the list, select the Add New button in the lower right. This will open a New Part search screen.
- Enter the part number. Alternatively, if your dealership uses the prefix, base, and suffix to build part numbers, you may enter any portion to search.
- After searching, results will show in the list below. You will be able to view these results based on parts listed in this location, in your dealership's other locations, and in pricebooks. Click over the tabs to view those results.
- Double-click over the part's row in the table.
- This will open the new part's master inventory record.
- Save the record. The part has been added to your inventory.
From a Parts Invoice
- Open the Parts & Service module.
- Click the New Parts Quote or New Parts Invoice quick link on the left side of the screen.
- Add the customer to the invoice.
- Type the Part Number to add it to the quote. If this part is not currently listed in your inventory, you will receive a popup asking if you wish to add the part.
- Click the OK button. This will open the New Part screen.
- Enter the part number. Alternatively, if your dealership uses the prefix, base, and suffix to build part numbers, you may enter any portion to search.
- After searching, results will show in the list below. You will be able to view these results based on parts listed in this location, in your dealership's other locations, and in pricebooks. Click over the tabs to view those results.
- Select the Price Book tab.
- Double-click over the part's row in the table.
- This will open the new part's master inventory record.
- Save the record. The part has been added to your inventory.
- Close the part profile to return to the invoice.
From a Service Invoice
- Open the Parts & Service module.
- Click the New Repair Estimate or New Repair Order quick link on the left side of the screen.
- Add the customer to the invoice.
- Type the Part Number to add it to the invoice. If this part is not currently listed in your inventory, you will receive a popup asking if you wish to add the part.
- Click the OK button. This will open the New Part screen.
- Enter the part number. Alternatively, if your dealership uses the prefix, base, and suffix to build part numbers, you may enter any portion to search.
- After searching, results will show in the list below. You will be able to view these results based on parts listed in this location, in your dealership's other locations, and in pricebooks. Click over the tabs to view those results.
- Select the Price Book tab.
- Double-click over the part's row in the table.

From the Order List
- Open the Parts & Service module
- Under the Tools section of the menu tree on the left side of the screen, expand the Parts Ordering menu.
- Select the Order List option.
- Click the Add Part button in the lower right of the window. This will add a new blank row to the order list.
- Enter the new Part Number. You will receive a popup message prompting you to add the part to your inventory.
- Click the OK button. This will open the New Part screen.
- Enter the part number. Alternatively, if your dealership uses the prefix, base, and suffix to build part numbers, you may enter any portion to search.
- After searching, results will show in the list below. You will be able to view these results based on parts listed in this location, in your dealership's other locations, and in pricebooks. Click over the tabs to view those results.
- Select the Price Book tab.
- Double-click over the part's row in the table.
- This will open the new part's master inventory record.

From a Receiving Ticket
- Open the Parts & Service module
- Select the New Receiver option from the quick links menu on the left side of the screen.
- Click the Add Part button in the lower right of the window. This will add a new blank row to the receiving ticket.
- Enter the new Part Number. You will receive a popup message prompting you to add the part to your inventory.
- Click the OK button. This will open the New Part screen.
- Enter the part number. Alternatively, if your dealership uses the prefix, base, and suffix to build part numbers, you may enter any portion to search.
- After searching, results will show in the list below. You will be able to view these results based on parts listed in this location, in your dealership's other locations, and in pricebooks. Click over the tabs to view those results.
- Select the Price Book tab.
- Double-click over the part's row in the table.
- This will open the new part's master inventory record.

- Close the part profile to return to the receiver.
