Service invoices or repair orders will allow you to schedule the jobs for specific dates and times. Choosing to schedule jobs will let you choose the mechanic that you're scheduling by using the dispatch calendar. This article will walk through the steps to schedule an appointment.

Schedule Jobs from a Service Invoice
- Open the Parts & Service module.
- Choose the Service Invoice list from the menu on the left side of the screen.
- Double-click over the RO in the list. This will open the invoice window.
- Select the Schedule tab.
- Optionally, you may assign a skill level for the work.

Optionally, you may assign a priority for the job.
- The Estimated Drop Off and Estimated Pick Up fields are automatically populated. You can edit these dates by typing in a new date or by clicking over the calendar icon to open a calendar to choose the date.
- Add the Estimated Hours to the job.
- Click one of the scheduling buttons to add the repair to the dispatch calendar. The different scheduling options are:

- Schedule - Choosing this option will add this one job to the dispatch calendar. This is helpful if the job requires a higher-level mechanic or needs to be booked separately.
- Schedule All Un-Scheduled Jobs - Selecting this option will add each job individually to the dispatch calendar. They will show as separate appointments.
- Schedule Group of Jobs - Choosing this option will add together all of the estimated times and book one long appointment for all jobs at once.
Schedule Jobs on the Dispatch Calendar
The Schedule button will open the dispatching calendar to allow you to assign the job to a mechanic. When opened, the repair will appear in the “Unassigned” column.
- Drag and drop the appointment in the time slot available for the mechanic you choose.
Please note that if you move the appointment time or date on the calendar, the system will update the invoice as well.
IMPORTANT: The mechanics that you see on your dispatch calendar are visible because you and they share an employee team. If a mechanic is not visible on the dispatch calendar, please verify both your and their team. Teams are assigned on the Employee Information screen. |
- Please make sure to select the Save button to save the changes.
- Select the X in the upper right to exit the dispatch calendar and return to the repair order.
RO After Assigning Tech
The Schedule tab will show the date and time the appointment is scheduled to occur, as well as the name of the mechanic for the job.
The mechanic will also show in the labor time summary grid on the Repair Info tab.
