This page will take you through the steps on how to properly make a sublet on a service repair order in MotilityAnywhere. Please read the full section before creating or deleting a sublet.
Add a Sublet to an RO
- On an open Service work order:
- Select the job line of the sublet work from the job list on the left.
- Click on the Sublet tab for the repair line selected. Verify you are on the correct repair for the sublet.
- Select the Add Sublet button to open a new sublet.
- A new row will be shown in the sublet table. You may need to scroll to the right to see all of the fields within the table.
- Select the Supplier that the sublet will go to. Once selected, this will fill in the Entity # and Pay To field (if set for this supplier).
Note: If the supplier is not in the supplier dropdown, they must be added to the supplier list before they can be selected here.
- Optionally, you may add a different entity number into the Pay To field. This can be used if you need to pay a different entity than who is doing the work. For example, if you paid the supplier with a credit card, the pay to field would be the credit card entity. If this does not apply, DO NOT modify the Pay To field.
- The PO# gets filled in once you order the Sublet.
- Enter a Description of the work. This will print out on the invoice.
- Enter the Cost of the work performed for the dealership.
- The Price is the amount that the dealer/facility will be charging the customer for the work.
- Enter the Entity Reference. This is usually the invoice number that the sublet company sends, but can be a number to reference this particular sublet order.
- Click the Schedule button to send this to the Sublet Calendar to track.
- Once the supplier takes the unit or arrives to perform the work, click the Order button. This will change the sublet line color, create the PO, generate a PO#, and add a new line to your parts table on the RO called "SUBLET". The cost, price, and description are populated onto this item based on what was entered in the sublet table.
- After the work is completed, click the Receive button. This will finalize the sublet and the order.
IMPORTANT: This is the final step on the sublet so if there is a change of cost or price, you will want to wait until the work is done and pricing is finalized before you select the receive button. This will prevent having to create a 2nd sublet for a price difference. Please note that if you have received the sublet and there is a change in cost or price you can create a 2nd sublet and fill in the cost or price field in the amount needed, either positive or negative. |

- Clicking the Print button will let you print a copy of the sublet purchase order.
Remove a Sublet from an RO

Void the Sublet Order
- Open the RO.
- Click the Edit button in the lower right to unlock the record.
- Click the sublet job from the job list.
- Choose the Sublet tab.
- Note the PO# on the sublet line. You will need this for the next steps.
- Exit the RO.
- In the menu on the left side of the window, locate the Parts Invoicing section within the Views.
- Click over the Purchase Ordering option to open a list of purchase orders.
- Using the PO# (from step 5 above), locate the order in the list. Click over the PO number or double-click anywhere else in the row to open the order.
- Click the Edit button in the lower right to unlock the order.
- There are several icons in the upper right. Click the void button. It is the universal "no" shape of a circle with a line diagonal across it.
- Enter a reason for the void into the popup window. This will update the PO as voided and move it to the voided section of the general purchase order list.
- Save the purchase order.
- Exit the PO.
Remove Sublet From RO
- Open the RO.
- Click the Edit button in the lower right to unlock the record.
- Click the sublet job from the job list.
- Click the parts/requests tab to view the parts list for the job.
- Highlight the Sublet line in the table by clicking once over the row.
- Click the Delete Part button. This will remove the sublet item from the list.
- Scroll up to the job/repair list.
- Click the Delete Repair button to remove the sublet job line.
- Save the RO.
- Optionally, if you wish to re-add the job line (and not have a sublet attached), you may now click the Add Repair button and re-create the repair line.
