Parts that will no longer be carried by your dealership may be marked obsolete and removed from your active inventory list. A popular time to write off obsolete parts for dealerships is during a physical inventory count. As part of this process, you may need to negotiate returning parts to a supplier to reduce the on-hand inventory.
Run Obsolete Parts Report
- Open the Reporting module.
- In the menu tree on the left side of the page, expand the Parts Reports section.
- In the menu tree on the left side of the page, expand the Master Inventory Reports section.
- Click over the Parts Master Inventory Report to open the parameters on the right side of the screen.
- Input the parameters to show parts based on the Last Sold Date as the date type. You will want to ensure that the End Date is your desired last date that the parts were sold.
- Choose the Submit button at the bottom of the parameters. This will load the report.
Use the list of parts to find any on-hand quantities that you may want to remove from inventory. You can do this by returning them to the supplier or by writing them off.
Mark Parts Obsolete
Based on your report, you can choose the date and price range you want to make parts obsolete. This will not delete the parts, just mark them obsolete.
- Open the Parts & Service module.
- From the Tools menu on the left side of the screen, choose the Mark Parts Obsolete option from under the Parts Maintenance section. This will open the Mark Parts Obsolete window.
- The date box shown for the Mark all parts obsolete that have not been sold or received since field will automatically populate today's date. Set this to update to match the report dates.
- If you wish to only mark parts in a specific Category obsolete, choose the category from the dropdown.
- If you wish to limit the parts to mark obsolete based on their cost, you can enter amounts into the Cost From and the Cost To fields.
- Optionally, you may check the Include Non Stock Parts box to include parts that have the 'non-stock' box checked on their profile into the parts that will be marked obsolete.
- Click the Process button.
Delete Obsolete Parts
IMPORTANT: Parts must have a zero quantity on hand to be able to delete them. You can use the report you just ran to adjust the parts individually. Once you made sure on hand qty is at 0 you can delete obsolete parts. |
- Open the Parts Master Inventory screen.
- Optionally, you can search for a part.
- Click the Search button to show a list of results.
- Double-click over one of the result rows to open the part profile. Please note that which part you choose for this step does not matter and will not impact the obsolete parts.
- Click the small icon in the upper right of the master inventory part profile. This will open a confirmation popup box.
- Select the Process button. This will delete obsolete parts that have never been sold, and have a zero quantity for total on hand, total on order, and total on allocation. If the part has previously been sold, the part will be marked as deleted but may still be found by searching for deleted parts.
- When the deletion has finished, you will receive a popup notification. Click the Close button to exit the popup.
