Your price files are located under “(603) Price Books” in the P&S tree. This view allows the user to pull up the list of parts available from their vendor and either add them to inventory, or add them to a parts or service invoice. You may also import parts from a price file or pricebook by typing the new part number directly on a service or part ticket. If the part is not already in your inventory, the system will pull the part information from the price file itself.
Updating Your Price File
Once you have uploaded a price file loaded at least once, you can perform the update function on your own by following the directions below.
- Open the Parts & Service module.
- Click over the Edit menu in the upper left of the screen.
- Hover over Modify to expand the submenu.
- Hover over Sources to expand the submenu.
- Choose the Suppliers option. This will open the Supplier Information Window.
- Navigate between suppliers by using the arrow buttons in the upper left of the window, or search for a supplier by selecting the magnifying glass.
- Once you find the supplier you would like to update, verify that there is something shown in the Price Book # field in the lower left.
- Click on the import button found in the lower right-hand corner of the window. This will open the Infinity Price Book window.
- Click on the Import Price Book button found at the bottom right of the window.
- Click the Browse button and navigate to the folder where you have the price file stored. This will need to be on the server computer. If you need to move your file to that computer, you can copy it from your computer and paste it onto the server.
IMPORTANT: The import specifications should never be changed. If the file format you have does not match the import specifications, you will need to choose a different price book file option or get a new file in the correct format from your vendor representative. |
If you are importing an Excel spreadsheet, you will need to verify that the spreadsheet name matches the tab title on the Excel file.
- Once you have the price file location loaded click the Import button. The system will update your parts price book and the prices for parts listed under that vendor.
- After the system shows that all three import stages are complete, you have finished loading your price file. Click the Close button to exit the import progress screen.
- Click Ok to close the Infinity Price Book window.
- Click Ok to close the Supplier Information Window. This will return you to the main Parts & Service module screen. You can now review the changes made.
