Journals are used to help separate where your accounting transactions are coming from and records all the financial transactions of your business. They are used for the future reconciling of accounts and the transfer of information to other official accounting records, such as the general ledger.
Setup Automatic Reference Numbering Per Journal
Update Journal Name
- Open any module.
- Click over the icon of a person in the upper right of the screen.
- Choose the Settings option from the menu. This will open a screen where you can apply settings at different levels.
- Select the App Settings tab.
- Click the Accounting subtab on the left side of the screen.
- Choose the Journal Names option.
IMPORTANT: Do not change the journal codes. Changing these will negatively impact reporting and other software functions. |
- The system comes pre-loaded with a list of Journal Codes (A1,B1…Z1), as well as a description for each journal. MotilityAnywhere allows you to enter new journals or modify existing journals. To add a new journal, click the Add Journal button to the upper right of the list.
- Choose a category for the new journal. These categories are pre-loaded and tell the program how to handle each transaction posted in accounting and determine how transactions will impact unit costs.
- To change the color for the GL account type, click over the choose color picker. This will open a color selection window. Select the desired color.
- Click the Update button to the right of the row.

- Select the App Settings tab.
- Click the Accounting subtab on the left side of the screen.
- Choose the Journal Names option.
- Click the Setup Auto Reference Numbers button in the upper right of the Journal Names section. This will open the Auto Reference Numbers window.
- Choose the journal that you wish to define a reference number for from the filter dropdown in the upper left.
- Click the Add New button in the upper right to add a new line to the table.
- Optionally, you may add a company number, if your numbering will be different per location.
- Enter the next reference number.
- Click the Update button to the right of the row.
