IMPORTANT: Normally, dealerships should simply void deals for returned units. This will create all the associated accounting transactions. |
Rarely, a deal needs to be completely undone. This is sometimes called unwinding the deal. This article reviews the steps to unwind a deal.
Reverse the Deal’s Accounting Entry
Refund From Warranty or Product Supplier
Reopen the Deal
- Open the Deal Desking module.
- Choose the Done button at the top left of the deal list.
- Locate your deal in the list and double-click over the row to open the deal window.
- Click the Edit button in the lower right of the window to edit the deal.
- If you are viewing a deal in the summary view, select to change to the expanded view by selecting the option in the upper right.
- In the header, change the deal status to an Open status. At this point, the external status name you select does not matter, only that the internal status is Open.
- Copy the deal number- you'll need it for the next step.
- Click the Save button.
Reverse the Deal’s Accounting Entry
- Open the accounting module.
- You may use the deal number to look up the transaction. The deal number is the entity reference. Alternatively, you may enter the deal number into the search field to search for the deal transaction.
- Open the transaction.
- Click the Edit button in the lower right to unlock the record.
- At the bottom of the transaction window, click the Reverse button.
- Save the transaction.
- Choose to exit the transaction window.
Refund Deposit to Customer
- Open the Deal Desking module.
- Choose the Open button at the top left of the deal list.
- Locate your deal in the list and double-click over the row to open the deal window.
- Click the Edit button in the lower right of the window to edit the deal.
- Select the Quote tab.
- Scroll down the window until you can click the Deposits tab on the left side.
- Click the Add New Deposit button at the top of the tab. This will add a new, blank line to the deposits table.
- Enter a minus sign in front of the original deposit amount. This will create a refund for the deposit amount.
- Click the Cash Out button. This will prompt you to save the deal and open the sales register screen.
- Choose the payment method for the return amount. This is usually used to refund a credit card.
If you wish to apply the refund amount here so your accounting team can write a refund check, choose the On Account payment method. - To the right of the amount field, you will see a lightning bolt. Clicking this will populate the entire amount due (as a negative) into the amount field.
- Choose the Print button at the bottom of the screen. This will open a new tab on your browser and show a copy of the receipt. In the original tab, this will complete the transaction and close the sales register screen, returning you to the deal.
Refund From Warranty or Aftermarket Product Supplier
If the dealership has already paid for the warranty product, then your dealership will end up with an AP credit from the warranty or aftermarket supplier. The supplier will either send the dealership a check for the payment refund, or need to apply a credit towards a future AP balance.
Void the Deal
- Open the Deal Desking module.
- Choose the Open button at the top left of the deal list.
- Locate your deal in the list and double-click over the row to open the deal window.
- Click the lock icon in the lower left of the window to edit the deal.
- If you are viewing a deal in the summary view, select to change to the expanded view by selecting the option in the upper right.
- In the header, change the deal status to a Cancelled status.
