The delivery calendar is used by the sales department to reflect when units sold on deals will be picked up by the customer. Appointments are added to the calendar by choosing a specific deal status. The deal status indicates to send the information to the calendar.

View the Delivery Calendar
- Open the Deal Desking module.
- Choose the Delivery Calendar link from the finance views section of the menu on the left side of the screen. This will open the delivery calendar window.
Calendar Views
In the upper left of the calendar, you can choose to export the calendar you are viewing by selecting the Export to PDF button.
Select the Today button to move your highlighted day to today's date.
Use the small arrows to the right of the Today button to move quickly between days, weeks, or months. The increment that you will move is based on the selection in the upper right of the calendar.
In the upper right, you can choose to view the appointments by day, week, or month. By default, the calendar will open to the month view. There is also an option to view an agenda, which will display the next 7 days of appointments in a list.

Calendar Filters
You can type something into the Search for section under Calendar Filters. Then Click the Magnifying Glass. Calendar appointments that do not contain your search term will be hidden from the calendar until you click the X button.
By default, the calendar will open to display appointments for all delivery specialists. Remove a specialist from the list temporarily by clicking the X to the right of their name. Remove all specialists quickly by selecting the X to the right of all names. View appointments assigned to a single specialist by selecting their name from the dropdown selection box. You can access this box by clicking in the specialist section.
Company Total Hours
The total company hours will reflect the hours of appointments for the day. The maximum number of hours for the company

Modify Delivery Specialists
Click the Modify Delivery Specialists button to open a screen displaying your specialists. The security permission [DELIVERY CALENDAR] Allowed To Modify Delivery Specialists allows access to this screen. On this screen, you can set the number of available delivery hours per specialist per day.
Modify Unit Types
Click the Modify Unit Types button to open a screen displaying the unit types and default appointment length. The security permission [DELIVERY CALENDAR] Allowed To Modify Unit Types allows access to this screen.
Modify Delivery Statuses
Click the Modify Delivery Statuses button to open a screen displaying the delivery statuses for appointments on the delivery calendar. The security permission [DELIVERY CALENDAR] Allowed To Modify Statuses allows access to this screen.
Calendar Buttons
Show Business Hours / Show Full Day
You may use these buttons to show the calendar with either the business hours or the full 24 hours.
Appointment History
Select the Appointment History button to open a screen that shows all the changes made to the appointment.
Refresh
Select the Refresh button to show updates made.
Clicking the Print button will open a print preview of the calendar view you have open on the screen. You may send to your desired printer from the preview window.
Apply
Choose the Apply button to update the calendar with the changes you have made.
Add a Deal to the Delivery Calendar
- Open the Deal Desking module.
- Locate your deal and click over the deal number to open the record.
- There are two different views available for the deal. You can switch between the views by using the Show More button toward the upper right of the screen.
Once expanded, the deal dates will show.
- Set the delivery date and time.
The Delivery Date is the date the customer takes delivery of the unit. This should be entered prior to updating the deal status to one that adds an appointment to the delivery calendar.
- Update the deal status to the selection that offers 'true' to add to the delivery calendar.
- Choose the Save button to save your changes.
- Click the X in the upper right of the window to close.
IMPORTANT: Appointments added to the delivery calendar are not assigned to a delivery specialist. |
Assign the Delivery
The security permission [DELIVERY CALENDAR] Allowed To Assign allows users to assign a deal to a delivery specialist.
- Open the Delivery Calendar.
- By default, the calendar is shown in the Month view. Use the Day button in the upper right to change to the day view.
- Use the date buttons in the upper left of the calendar window to move between days and locate the deal.
- Drag n' drop the appointment from the Unassigned column to a person's column to assign it to the delivery specialist.
- Click the Apply button in the lower right of the window.
- Click the X in the upper right of the window to close.
