Entities are the individuals or companies that you work with, whether it be a customer or a bank. Each entity should have a profile and be entered into the CRM. Depending on the type of entity, you will need to enter them differently.
Add a New Customer
- Open the CRM module.
- Click the “Add New Contact” button in the CRM module to the left. This will clear the screen and display blank fields to enter in the customer’s information.
- As you type in the customer’s info, you will notice that the CRM will filter for any duplicate profiles that are already in the system in real-time to prevent duplicate entries in the system. Check the Duplicates tab to ensure the prospect is not already listed.
- If the customer exists in the duplicates tab, double-click over the row to open the record. If the customer does not exist in the system, you may enter their information.
- Once the customer’s information has been entered, click the Save button at the bottom of the screen to reveal all the tabs that can be customized.
Enter Lead Info
The Lead Info tab provides most of the information useful to a salesperson. You are able to set the Primary Sales Contact to whichever salesperson the lead belongs to and set the lead temperature to indicate how interested the customer is.
These temperatures will delegate the salesperson’s entities into categories on the left side of the screen. This helps the salesperson keep track of which customers they need to contact. If the date of the entity’s “Next Call Back Date” has passed, the entity will appear in red in the “Need To Contact” list as an indicator to contact them as soon as possible
The Lead Info tab provides options for customization such as assigning a Sales Campaign or Advertising Lead so that you can keep track of which marketing campaign is working best for the dealership. You can also assign Price Ranges and Payment Desired on an entity’s profile so that you can follow up if the business receives a unit that matches the criteria.
You can start a quote directly from the Lead Info tab after you have entered additional information on the customer's profile.
Enter Unit Preferences
The Unit Preferences tab allows the user to assign specific types of units to the customer’s profile. This will allow the user to show up in a search or report, in case a unit that matches those preferences becomes available.
Enter Unit Trades
Enter information about any vehicle or vehicles that the customer wish to use as a trade for a new unit. This information can then be easily added to the customer's deal.
Enter Any Co-Buyers
Use the Co-Buyers tab to enter any co-buyer information. People entered here can be easily added to the customer's deal.
Enter Additional Addresses
If the customer has more than one address, enter the secondary address or addresses here.
Start New Quote
If the customer is ready to move forward with a quote on a unit, return to the Lead Info tab and choose the Start New Quote button on the right side of the profile. This allows you to select the information that you just entered to quickly build the quote.
