Tasks are a list of checkboxes that represent an employee’s daily work. Tasks can be created by management, assigned to an employee, and be viewed by selecting the Tasks Quick Link option on the left side of the messaging module screen.
Task Filters
Tasks are organized into Active Tasks (Incomplete), All Tasks, Next Seven Days (based on Due Date), Overdue Tasks, and Completed Tasks. Then they are filtered by the due date range as entered below.
These dates can be changed, or the Limit Due Dates option can be unchecked. When changing the Task Filters remember to click the refresh button.
Add a New Task
- Click the blank, gray, starred row in the task list. A new task row will appear in the list.
- Always start a new task by adding the Subject. The subject informs you or the employee what action needs to take place in order to complete the task.
- Choose the Employee who will do the task from the Assigned To column.
- Scroll to the right in the task list to add the System and Document Number. This points the task to a module in the software.
For example, choosing the system mode of Deal Desking means that the Document Number is an deal number. Choosing Service Invoice as the system mode references a service invoice number as the document number. - You may need to scroll further to the right to add the Due Date for the task.
- If the task is in reference to an entity, scroll to add the entity number. This will allow the task to show in the prospect's CRM profile's tasks tab. If the task is in reference to a stock unit, scroll to add the stock number.
- Click the Save button above the task list.
Add Tasks From an Entity
- Click Add New Task
- Choose an employee in “Assigned To”
- Type the subject of the task
- The entity will be automatically added to this task
- Select a Due Date
Add Tasks From a Deal
- Click Add New
- Choose an employee in “Assigned To”
- Type the subject of the task
- Select a Due Date
Add Tasks From a Unit
- Click Add New
- Choose an Employee in “Assigned To”
- Type the subject of the task
- Select a Due Date
Viewing Tasks
Tasks can be viewed in the following areas:
- Messaging Module - Tasks quick link option on the left
- CRM and Parts and Service Modules - Tasks Tab on an entity
- Deal Desking Module – Tasks Tab on a Deal or Quote
- Unit Inventory Module – Tasks Tab on a Unit
